Profile completed

Your profile will be evaluated by our internal staff. You will receive an email message when your profile is approved or not.

Please make sure that your registration has been fully completed and all the necessary information in the requested sections has been filled out. Don’t forget that your profile is your billboard and a perfect way for us to get to know you better.

Remember to keep the information in your profile up to date at all times, especially your contact information. Both Responsibilities field in Professional experience section and your CV should represent well and in-depth your translation skills and experience. Depending on the language combination, the orders we receive and your profile details, it may take some time to get fully operative in our system.

Admission test

Once your profile has been approved in our system, you enter our pool of freelance translators. No admission test is required at this stage. The first projects that are assigned to you will be evaluated in terms of quality and you will receive feedback from our Project Managers if some improvements are required.

Native language

Our policy is to only allow our translators to translate into their Native Language.

We are fully aware of bilingualism. Based on scientific studies though, one of the languages always results to be stronger than the other. Therefore, we ask you to carefully reflect upon the choice of your Native Language you will be translating in.

Please make sure that your Native Language is correct and fully represents your language skills. The Native Language you declare, will automatically become the only target language you will translate into.

Improve your profile

Improving some aspects in your Translated profile may increase the possibility of working together.

  1. Be competitive
  2. Make sure the rate you selected is competitive in comparison to what other translators are offering in your language combination. This may increase the possibility of working together.

    You are free to update or change your rate at any time during our collaboration. Being more competitive at the beginning of our collaboration is also a good way for us to get to know you better and establish a solid base for a long-term collaboration.

    When your workflow is slow, you can change your rate parameters and make yourself extra competitive to increase your workload. Same goes for busy periods, during which you can increase your rate and be more selective when accepting projects.

  4. Keep us informed about new professional experiences, specializations, changed contact details, etc.

  5. Let us know when you are available
  6. Communicate your immediate availability in real time by using our TAV software or through your profile.

Profile changes

You can update and make changes to your profile at any point during our collaboration. It is important to keep your profile up-to-date, so we can assign projects to you that are in line with your studies, experience and specializations.

Please make sure you click “Save changes” when you update a field.

Profile settings

You can change your general profile settings and availability on the Options page in your profile.

In the Options page you will find a direct link to download the TAV software and use the availability calendar for translators.

You can indicate any additional linguistic services you provide, e.g. interpretation, sworn or legally certified translations, tenders, etc.

You can subscribe to our Newsletter and give permission to publish your profile online.

Cancel registration

If you would like to cancel your registration or remove your profile from our database, please send us a cancellation request via email at freelance@translated.com.

Language pairs and rates

Language status

Once you have added the language combinations you translate in, you can check the status of each language pair on the Languages page of your profile:

Rate

All of our translators are free to indicate their rate for translation work directly in their profile on the Languages page for each language pair.

We do provide a suggested rate, which is calculated statistically based on the rates proposed by other translators working in your combination(s) and the current market trends of the market segment in which we operate.

Being more competitive at the beginning of our collaboration is also a good way for us to get to know you better and establish a solid base for a long-term collaboration.

Rate changes

You are free to update or change your rate at any time during our collaboration.

In order to change your rate, go to the Languages page of your profile, select the language pair you wish to amend and indicate your new rate. Click “Save changes” to store the updated information.

Make sure the rate you selected is competitive in comparison to what other translators are offering in your language combination. This may increase the possibility of working together.

Suggested rate

The suggested rate is calculated statistically based on the rates proposed by other translators working in your combination(s) and the current market trends of the market segment in which we operate.

The suggested rate gives you an idea in which direction the translation market is going. You can be a step ahead of the crop by increasing your competitiveness and prepare for the future.

Words per day

Your daily turnaround refers to the average number of words you can translate per day. This number is used to schedule the delivery deadlines for projects.

Please insert for each language pair the average number of words per day you can translate if you would only accept translation jobs in that language combination.

If you do not have an accurate idea yet of your current daily capacity, we suggest that when you are translating, you keep track of how many words you are able to translate per day. When building up experience, the number of words you are able to handle per day will increase. We suggest to change this information in your profile according to your findings and/or experience.

Light post-editing

Light post-editing is the improvement of machine translated content by a professional translator to a "good enough" or comprehensible level of quality.

The overall goals for the improvement of machine translation is not to provide a human quality translation, but instead to achieve the following:

Subject fields

Are you specialized in multiple subject fields? Carefully select the subject fields you are most comfortable translating in or for which you have obtained a particular specialization through experience or additional studies.

In order to change your subject fields, go to the Languages page of your profile, select the language pair you wish to amend and change your subjects. Click “Save changes” to store the updated information.

Did you know you can also add multiple keywords to further detail out your specialization? This is a great way to let us know more about your specializations or niche experience!

Jobs

Job assignments

All of our work is processed electronically. Purchase orders (PO) are sent out by our Project Managers via email.

Once our Project Managers assign a job to you, you will receive an email with a link to the PO to accept or decline, which contains all the project details and access to the original text.

You are free to accept or decline the PO based on your availability and expertise.

If your application has been "approved", but you are not receiving any work, there might be several things you could do to make your profile more attractive:

CAT tools

Translated uses MateCat for 90% of its projects! MateCat is a free online CAT tool that integrates collaborative translation memories and machine translation. You can use it for free for all your personal translation projects as well. Have a look at how MateCat works and get prepared to start translating!

If you use other CAT tools, such as Trados, Wordfast, MemoQ, etc. you can indicate them in the Tools & Skills page of your profile.

Performance graph

The performance graph shows you how your work is being evaluated. Both the quality as well as your professionalism as a translator are measured. The quality of your work will be evaluated by another senior translator in your language combination, whereas the professionalism score is given by our Project Manager. Under “professional behaviour" we understand the following:

This is by no means an exhaustive list, as each project may have different and/or additional criteria regarding professional behaviour. But it gives a pretty good idea of the concept.

Payment

Tax details

Your choice about Tax details will depend whether or not you have a VAT identification number.

The tax ID refers to your Tax Identification number if you have one (e.g. national identification number, social security number, etc.). If you are living in Italy, you should enter your “codice fiscale” and select the correct fiscal regime that applies to you.

VAT number

A value added tax (VAT) identification number is an identification number that has been assigned to your business for tax purposes. VAT identification numbers are used in many countries, including the European Union. If your business is registered outside of the European Union, entering a VAT number is optional.

It is not mandatory to have a VAT number in order to work with us as a freelance translator.

Please note that if you are living in Italy and you don't have a VAT number, we can inform you that there is a restriction to the amount of money you can earn on a yearly basis
(i.e. 5 000 Euro). For this, we advise you to contact your accountant (commercialista) to get more information.

Tax status

Your choice about Tax details will depend whether or not you have a VAT identification number.

Translators are responsible for the truthfulness and correctness of the data provided in their profile. Translated cannot be held responsible for incorrect tax or payment details.

Payment method

We currently offer two payment methods: wire transfer and PayPal. You can choose the payment method that is most convenient for you in the Payment page of your profile, providing the requested information.

When selecting PayPal, please check whether your country supports the use of PayPal to receive payments on the PayPal website before entering your details.

Payment cycle

At Translated timely payments are one of our top priorities! This is why we work with fixed monthly payment cycles in order to guarantee on time payments to our translators.

Invoices are to be submitted electronically via your profile on the Payment page. At the end of each month you will receive an automatic email asking you to send us your invoice. Invoices must be submitted by the 4th of each month. Translated’s monthly payment cycles go from the 5th to the 10th of each month, during which payments are registered for all work completed in the previous month.

For administrative reasons, no new invoices can be generated for the current month during the payment cycle. Once the payment cycle has been completed, invoices can be issued again.

Unreceived payments

You have created your invoice, but you have not yet received your payment into your account? Please double-check the following details:

Did you create the invoice within the established time frame communicated by our Accounting Department?

Did you check the Expiry date on your invoice, which indicates the last date by which you should receive your payment?

Is a minimum transfer sum required for your selected payment method?

Commission fees

In general, whether it is a wire transfer or a payment via PayPal, we pay the commissions. However, since we pay in Euro, this does not exclude the possibility that you may need to pay a fee for the currency exchange or intermediary bank. This usually depends on the type of contract you have with your bank.

TAV

TAV software

TAV is a technology which enables you to communicate your availability in real time to our Project Managers. It allows us to see immediately which translators are online and ready to be considered for new translation jobs.

Installation

In order to install TAV, please follow the instructions below for your OS.

- if you work with Windows, download the TAV.exe file to your desktop, double click on it and follow the Installation Wizard

- if you work with macOS download the TAV.dmg file to your desktop, double click on it and drag the TAV icon to the Applications folder

After the successful installation a login window will appear. To access the TAV, you just log in with the same username and password you use to log in to your online translator profile.

Use

The TAV icon is located in the Windows "system tray" in the lower right of your screen. By simply clicking on the TAV icon (right mouse click for macOS) you can change your status from "Green" (you are immediately available) to "Red" (you are busy, on holiday or simply do not want additional work), and back.

Notifications

TAV informs you with a notification when a new purchase order (PO) was sent to you. In order to receive the message, make sure you have "notifications" enabled for TAV application.

Updates

From time to time we will update the TAV, adding new functionalities. In this case, a pop-up window will appear asking your permission to install the software update.

Uninstall

To uninstall TAV, Windows users go to the Control Panel, select "Uninstall a program" then double-click TAV and confirm when prompted. macOS users drag the application from their Applications folder to the trash. If requested, enter your password and click OK

Privacy

Personal information

Your personal details are only visible to Translated employees internally. Your address and tax details are needed for invoicing purposes. Your phone number and email in order to be able to contact you for translation work.

Translators are responsible for the truthfulness and correctness of the data provided in their profile.

Public profile

You can give permission to have your profile published online and increase your chances to receive work. Some general profile information will be published online, so that customers can directly order with you through our online order system.

The information displayed in your public profile is anonymised and limited to the following:

If you do not wish your profile to be public online, you can untick the checkbox in the Options page under "Public profile".
